Purpose
Responsible for providing comprehensive administrative support to the department, including managing calendars, coordinating travel, facilitating meetings and events, processing expenses, preparing presentations, and supporting department operations.
Responsibilities
- Provide administrative support, including calendar management, travel arrangements, meeting coordination, processing expenses, conference registration, organization chart maintenance and correspondence handling.
- Facilitate onboarding and account setup for new team members, including hardware and system access requests.
- Initiate, process, and track Statements of Work (SOWs) and Purchase Orders (POs) in coordination with finance and procurement teams.
- Oversee and support invoicing, payment tracking, and vendor communications to ensure timely compliance with contracts.
- Prepare reports, presentations, and other communications using current business software (such as Microsoft Office Suite, Teams, Adobe Acrobat, and other relevant tools).
- Ensure adherence to all relevant corporate and divisional policies and regulatory guidelines, while accurately managing departmental records and documentation.
- Act as a point of contact for internal and external partners
- Organize team events, workshops, and virtual meetings leveraging modern collaboration platforms as needed.
- Support and train new or junior administrative team members as needed
