Job Description

The Executive Assistant to the Chief Medical Officer (CMO) will serve as a highly trusted, proactive, and detail‑obsessed partner to one of Janux’s critical executive leaders. This individual will ensure the CMO’s office operates with exceptional precision, consistency, commitment and professionalism. The ideal candidate is anticipatory by nature, thrives in a high‑expectation environment, and can manage a complex, evolving workload with composure and impeccable judgment in a clinical stage biotech.

The best candidate for this role is proactive, agile, organized, and calm under pressure. They are exceptional communicators with strong interpersonal and collaborative skills, comfortable engaging with senior leaders, cross-functional partners, and external stakeholders including all levels of leaders in academia, finance and business. You must thrive in a fast-paced environment, stay highly organized, and have a can-do attitude where nothing is outside the job description.

The EA will also collaborate closely with Clinical Development, Regulatory, Clinical Sciences and Operations teams cross functionally, providing additional leaders support depending on departmental needs.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES
  • Manage the CMO’s complex and constantly shifting calendar with exceptional attention to detail, prioritization, and urgency.
  • Act as the primary administrative liaison between the CMO’s office and C-suite, stakeholders, external partners, and all other internal departments at Janux.
  • Serve as the primary gatekeeper, ensuring alignment between priorities, meeting flow, and preparation materials.
  • Coordinate confidential internal and external meetings, including scientific collaborations, conferences, advisory boards, and interviews.
  • Coordinate planning and execution of corporate events, on and offsite meetings, and celebrations. Execution and set up of these events and meetings could include activities requiring physical labor.
  • Prioritize conflicting needs, handle matters expeditiously, proactively, and follow-through on projects to successful completion, often with deadline pressures.
  • Maintain a high level of discretion when handling confidential clinical, regulatory, personnel, and strategic information.
  • Coordinate highly detailed domestic and international travel, including itineraries, conference schedules, logistical support, and real‑time troubleshooting.
  • Assist with contracts, work orders, clinical vendors, and operational workflows requiring CMO review or execution.
  • Support budgeting processes including expense reports, invoice routing, and credit card reconciliations for the CMO and clinical organization.
  • Work closely with other Janux administrative professionals to ensure alignment, coverage, process consistency, and positive team culture.
  • Partner with the Clinical department leaders for planning, scheduling, and ensuring alignment of departmental deliverables, including team meetings or interview support.
  • Anticipate needs, identify potential issues before they arise, and take decisive, appropriate action to resolve them quickly.

  • EDUCATION, EXPERIENCE, KNOWLEDGE, SKILLS AND ABILITIES
  • 10+ years of executive‑level administrative support, preferably in biotech, pharma, clinical development, or a similar scientific/technical environment.
  • Demonstrated experience supporting a senior executive with high expectations and a high‑complexity workload.
  • Strong command of Microsoft Office Suite and cloud‑based systems (e.g., SharePoint, Smartsheet, Teams, Veeva, Concur).
  • Excellent written and verbal communication skills, including editing and document preparation.
  • Availability during non-business hours may be needed.
  • Ability to handle confidential and sensitive information. Ability to multi-task and prioritize time-sensitive requests.
  • Ability to assist in the physical setup and breakdown of corporate events, meetings, offsites, etc.
  • Physical requirements:
  • This role may require occasional lifting, moving, or transporting materials up to 25 lbs.
