Position Summary

As an Executive Assistant, you will be a trusted partner to senior leaders, helping them manage priorities, drive productivity, and ensure the smooth operation of leadership teams. This role goes beyond traditional administrative support and is ideal for someone who is proactive, highly organized, and comfortable working in a fast-paced, international environment.

Key Responsibilities

• Act as a reliable and trusted partner to senior leaders, anticipating needs and enabling them to focus on strategic priorities.
• Proactively manage complex calendars, prioritize high-value meetings, and optimize leaders’ time for maximum impact.
• Coordinate leadership team routines, including scheduling, agenda preparation, documentation, and follow-up on actions.
• Organize internal and external meetings, workshops, and events, ensuring effective logistics and timely communication.
• Arrange travel and accommodation and support expense management in line with company policies and procedures.
• Streamline day-to-day administrative processes to reduce distractions for leaders and improve overall productivity, including use of digital tools where appropriate.
• Prepare, edit, and manage correspondence, presentations, and reports with a high level of accuracy and professionalism.
• Track key decisions and actions from meetings, supporting timely delivery and accountability.
• Anticipate challenges, propose practical solutions, and support seamless execution of leaders’ priorities and commitments.
• Handle sensitive information with discretion, maintaining high standards of confidentiality and compliance with company governance.

Knowledge, Skills and Experience

• Saudi National.
• Bachelor’s degree or equivalent experience required.
• Additional qualification in Business Administration or a related field is an advantage.
• Minimum of 5 years’ experience in an Executive Assistant or senior administrative role, preferably supporting senior leaders in a regional or global organization.
• Strong organizational and time-management skills, with the ability to manage multiple priorities.
• Excellent written and verbal communication skills and strong stakeholder management capabilities.
• Proficiency in Microsoft Office and confidence in learning new digital tools.
• Demonstrated ability to manage confidential information with discretion and sound judgement.

• تبسيط العمليات الإدارية اليومية لتقليل المشتتات عن القادة وتحسين الإنتاجية العامة، بما في ذلك استخدام الأدوات الرقمية عند الاقتضاء.
• إعداد وتحرير وإدارة المراسلات والعروض التقديمية والتقارير بدقة عالية وباحترافية.
• متابعة القرارات والإجراءات الرئيسية الناتجة عن الاجتماعات، ودعم التنفيذ في الوقت المناسب وضمان المساءلة.
• استباق التحديات، واقتراح حلول عملية، ودعم التنفيذ السلس لأولويات والتزامات القادة.
• التعامل مع المعلومات الحساسة بسرية تامة، مع الالتزام بأعلى معايير السرية والامتثال لحوكمة الشركة.

المعرفة والمهارات والخبرة

• سعودي الجنسية.
• يشترط الحصول على درجة البكالوريوس أو خبرة معادلة.
• يُعد الحصول على مؤهل إضافي في إدارة الأعمال أو مجال ذي صلة ميزة إضافية.
• خبرة لا تقل عن 5 سنوات في دور مساعد تنفيذي أو دور إداري رفيع، ويفضل أن تكون في دعم قادة كبار في مؤسسة إقليمية أو عالمية.
• مهارات قوية في التنظيم وإدارة الوقت، مع القدرة على إدارة عدة أولويات في آن واحد.
• مهارات ممتازة في التواصل الكتابي والشفهي، مع قدرات قوية في إدارة أصحاب المصلحة (Stakeholders).
• إتقان استخدام مجموعة مايكروسوفت أوفيس والقدرة على تعلم أدوات رقمية جديدة بثقة.
• قدرة مثبتة على التعامل مع المعلومات السرية بسرية وحسن تقدير واتخاذ القرار.
