The Position

The Opportunity 

The Digital Innovation and Operational Services Chapter is a global team in R&D that focuses on internal improvement: increasing productivity, efficiency, and the ability of the R&D organization to collaborate across its global organizational interfaces. Our work involves reducing the complexity of our systems, harmonizing processes, tools, and business practices, and building connections across geographical and organizational silos.

The Role 

We are seeking an R&D Enterprise Tools Operations Specialist II to join our global internal service and support team. In this mid-level role, you will apply your conceptual knowledge and significant working experience to perform a range of assignments with limited guidance.  You will act as a reliable service provider with a customer-oriented mindset to handle critical system requests within our core business tools, ensuring our scientists and engineers worldwide can focus on developing innovative products for patients.  

Rather than just managing system change requests, you will manage the integrity of the business process within our internal tools.  By developing a deep understanding of the R&D organization and unique team needs, you will translate diverse business needs into effective system and data configurations. You will handle complex requests, ensuring that as our internal digital infrastructure evolves, our global R&D teams remain compliant, organized, and productive.

Key Responsibilities

  • Execute System Requests with Limited Guidance: Fulfill customer requests and generate business metrics by performing a range of assignments related to your discipline, ensuring that enterprise system tool configurations / data updates align with actual R&D workflows / needs. 

  • Anticipate and Solve Complex Problems: Understand the impact of system changes on the broader level to anticipate issues.  Analyze possible solutions to operational issues and system problems by relying on your experience, judgment, and established precedents.

  • Functional Decision-Making: Use your knowledge of your internal customers (the R&D teams) and their diverse needs to make informed decisions on system logic, such as grouping training curricula based on learner job functions, or making logical document hierarchies based on your learned organisational knowledge.  

  • Organizational Transition Management: Execute structural data migrations and updates within system tools driven by acquisitions, reorganizations, and digitalization projects to ensure user permissions, configurations, access, and data reflect the current state of the company.

  • Mentorship and Guidance: Provide guidance to new team members and R&D internal customers.  Based on your expertise navigating our enterprise tool workflows, configurations, and data - you provide guidance and oversight of system usage.  You routinely will need to explain information to others in a straightforward manner, and deliver presentations when needed to support training, onboarding, and engaging stakeholders participation in our projects. 

  • Anticipate Customer Needs: Understand key organizational drivers and areas of expertise to proactively anticipate needs, accomplish your work, and represent internal customers' needs to global project teams. 

  • Ensure Data Integrity and Compliance: Guarantee all activities strictly adhere to regulated R&D processes

  • Provide data monitoring and statistics You may be asked to support audits by showing adherence to our quality management systems and processes.  You may be requested to generate data summaries for business dashboards and monitoring purposes. 

Who you are

  • Education: Advanced university degree or Bachelor’s degree with additional equivalent experience, preferably in a technical, scientific, or business discipline.

  • Experience: Knowledge and skills typically gained through relevant working experience, for example:

    • 3+ years experience in customer service, troubleshooting, and supporting internal product development teams

    • 3+ years experience working in an IVD regulated environment, familiarity with design control processes

    • 3+ years experience in technical training, education / learning and customer/client care

  • Language Skills: Excellent written and verbal English Language skills are required, and German language skills are a plus.

  • System Proficiency: Requires good conceptual knowledge and experience in your discipline. Prior experience in enterprise business applications is desirable (e.g., Electronic Document Management Systems, Learning Management Systems like Cornerstone, or Project Management tools). 

  • Digitalisation and AI:  Education and experience in data structures, databases, automation, scripting, and/or AI prompt engineering is desirable.

  • Problem Solving & Execution: A proven ability to solve potentially complex problems independently and complete detailed tasks accurately.

  • Interpersonal Skills: Demonstrated ability to explain complex information clearly and work well within a hybrid virtual and global team environment.

  • Schedule Flexibility: To support the global nature of our work (e.g. collaboration between the US and Europe), customer and stakeholder meetings periodically require participation in meetings during the early evening hours (e.g. until 1900 for Europe positions, starting at 0700 PST for US positions ).
